License Optimization

This workflow retrieves users that have a professional SAP license on the specified SAP system, and identifies for each professional user, the number of programs and transactions they have run over the last year, or whether they have not logged into the system during a specified time period. The workflow also retrieves all the programs and transactions run in the last year.

These results are stored an HTML report, which may be used to identify users whose usage of SAP features is at a lower level than their license allows.

Creating RFC Destinations

Before you begin, you will need to create an RFC Destination for the SAP system you wish to analyze.

Select the RFC Destination in the LiveCompare hierarchy, and click the PHD tab. Enter a value (n) in the ‘Keep this many months of data:’ field, and click ‘Update Data’ to download the most recent <n> months of performance history data. You may also specify a schedule so that the available performance history data is downloaded at regular intervals. See the Retrieving Performance History Data help topic for details.

Preparing the Workflow

To prepare the License Optimization workflow, drag its workflow template from the Templates folder into your own workspace, then modify the workflow as follows:

To specify the system to analyze:

  1. Select the RFC parameter and choose ‘Edit RFC Destination’ from its context menu to display the RFC Destination dialog.

  2. Select the RFC Destination for the system to analyze, then click ‘Save’.

To specify a date range for dormant accounts:

  1. Select the Rows to Read Dormant date range parameter and choose ‘Edit Select List’ from its context menu to display the Select List Editor dialog.

  2. Enter a high and low date value for the TRDAT field, then click ‘OK’. Dates are specified in the format YYYYMMDD.

To analyze license types 91, AS, AX, AY and BA (optional):

  1. Select the Read USR06 action and view its details in the Property Editor.

  2. Link the ‘Rows to Read’ property to the Rows to Read LIC_TYPE = 91, AS, AX, AY, BA parameter.

This parameter may be modified to retrieve additional license types from the USR06 table.

Save the workflow using the ‘Save’ toolbar button.

Running the Workflow

To run the License Optimization workflow, click the 'Run' toolbar button, choose ‘Run Now’ from the diagram’s context menu, or press F5. The currently running workflow action is marked with an animated display. When the workflow execution has completed, select the Report URL dataset and choose ‘View Details’ from the context menu to access the generated report.
