Importing LDAP Users and Groups

As a Site Administrator, you can import users from your authentication system to qTest Manager, or merge them with existing qTest users.

To import users:

  1. In Site Administration select the Licenses tab.

  2. If there is at least one active connection to your authentication system (Eg: LDAP), you will see/select the Import From LDAP icon.

  3. The Import Users dialog opens and select one authentication system from the drop-down.

  4. Select Retrieve users and the system generates a list of users from your authentication system.

  5. You can filter or search for specific users using any fields in the grid by entering text in text boxes in the first row of the grid.

    Only the first 100 users that meet your search criteria are included in the search result.

  6. Select any users from the list then select Save to import them to qTest.

Important

  • The Email field is required. If the information is available in LDAP server, it is populated in the field. Otherwise, you need to manually fill it in.

  • You cannot import a user with an email that already exists in qTest Manager. You can select the If qTest email already exists in qTest, merge the LDAP account to that qTest account check box to overwrite the existing one.

  • If the number of imported users exceeds the available licenses, you will be alerted, and you cannot import the selected users.

  • Once the user is authenticated with an external authentication system, they can use either their username in the authentication system or their qTest Manager email.

On the Users List grid, you can find which external system is authenticating a user in the Authentication System column. It will show Internal if the user is being authenticated by qTest Manager.

Changing a User's Authentication System

To change a User's Authentication system, follow these steps:

    1. On the Users List grid, select a user's authentication system.

    2. Select another authentication system from the combo box.

    3. The Merge User dialog will open. Select one of the users from the grid to merge with the selected user.

    4. Select Save.

Synchronizing User Data from External Authentication Systems to qTest Manager

There is a daily automated job to sync users' status, first name, and last name from external authentication systems to your qTest Manager. However, you can manually kick the job by selecting Sync User Data.

Important

  • This job will archive users that are deleted in the authentication systems.

  • If the user has changed his first and last name in qTest, the job will overwrite them with the data in the authentication system.

Synchronize LDAP Users and Groups

The Synchronize LDAP Users and Group section displays information on the most recent sync. Clicking the Sync Now button will start the sync process and display the message: "qTest Manager is retrieving LDAP Users and Groups in the background. You can close this dialog and come back later to check the result." Clicking the OK button will close the dialog.

  • Last completed sync status: Once a sync job is completed, the sync status will be updated and displayed here. The status can be Successful or Failed.

  • Last completed sync time: The most recent completed time will be updated and displayed here.

  • Next sync status:

    • if there is no sync job running, the status will be Not Started.

    • If there is a sync job running, the status will be:

      • In Queue: The sync job is in the server queue and waiting for processing

      • In Processing: The sync job is being processed by the server

  • Options:

    • After an LDAP group is imported, qTest will automatically bring all LDAP users within the LDAP group to qTest. This saves time for Admins who don't want to manually do this using the Import LDAP User function.

    • Admins can specify how they want qTest to handle this automatic import feature:

      • Create LDAP account in qTest if not existed - qTest will create a new LDAP user when:

        • LDAP user has not been imported to qTest yet

        • LDAP user does not have the same email as an internal user

      • Merge LDAP account to qTest account if they have the same email address - qTest will merge an LDAP user to an internal qTest user when:

        • LDAP user has not been imported to qTest yet

        • LDAP user has the same email as an internal user

Configure LDAP groups

If a user has been assigned to a group in the LDAP system, but has not been assigned in qTest, they will be assigned automatically. If the user was removed from the group in the LDAP system, but not in qTest, they will be removed from the existing LDAP group in qTest. By selecting the Assign new group users to projects option, when a user is assigned to a group they will also be assigned to the group's projects automatically.

Import LDAP Groups

Site Admins can import groups from the LDAP by clicking on their username in the upper right corner, selecting Administration from the drop-down menu, and navigating to the Groups tab. If there is at least one active LDAP connection, they can click the Import from LDAP button.

The Import Group dialog appears. Admin can select one of the active LDAP connections.

Click the Retrieve Groups button to retrieve groups. The retrieved groups will display with their name and description. You can filter, sort, and select the groups for import and then click the Save button.

The import process will initiate and a confirmation message will appear after completion. Click the OK button to close the confirmation message and refresh the page. Clicking the View Log button will display the summary log which includes the Group names, the import status, and the error details if a group failed to import.

The LDAP connections that the group belongs to can be viewed in the Authentication System column in the Custom Groups section on the Groups tab.

The group name and description of an LDAP group cannot be changed in qTest after import. Additionally, the group can no longer be set as the default for new users.

Import LDAP users

Site Admins can import users from the LDAP system or merge them with existing qTest internal users by clicking on their username in the upper right corner, selecting Administration from the drop-down menu, and navigating to the Groups tab. If there is at least one active LDAP connection, they can click the Import from LDAP button.

When the Import Users dialog appears, select one LDAP system from the drop-down.

With the authentication system selected in the drop-down, click the Retrieve Users button.

Filter or search for specific users and select any users from the list. Click the Next button to review your selection. Click the Save button to import.

After they are imported, users are listed in the User List grid with the associated LDAP information and Authentication System

Users will also be automatically assigned to imported LDAP groups, if they are already members of that group.
